Seating chart sizes and what they cost

Seating charts generally run from $100 to $500 inc GST, driven by size and material more than by guest count. The size we print most often is 1m × 2m — it holds a long guest list without the type shrinking to the point people have to lean in.

We can print up to 1.2m × 2.4m as a single panel. Beyond that we split the chart across panels, which is not a compromise: two panels are easier to transport, easier to set up, and let you run alphabetical ranges side by side so a queue moves faster. Send your guest count and we will advise the size rather than let you guess.

What is a seating chart?
A seating chart is a single large sign that tells every guest which table they are on, so they can find their seat without a host walking them there. It replaces handing out individual cards at the door, and it is usually placed at the entrance to the reception, on an easel, before guests reach the room. It is different from a table plan drawing, which is the layout you give your venue, and different from place cards, which sit on the table and name the specific seat. Most couples order all three: a seating chart at the door, place cards on the table, and a layout for the venue.
What is the difference between a seating chart and a seating map?
A seating chart lists guests by name, usually grouped alphabetically or by table, and answers the question "which table am I on". A seating map is drawn to the shape of the room, showing where each table physically sits, and answers "where in the room is that table". Charts are faster to read and move a queue quicker, which is why they are more common at the entrance. Maps work better in large or unusually shaped rooms where finding table 14 is genuinely difficult. We print both, and for larger weddings some couples use a chart at the door and a map further inside.
How should names be ordered on a seating chart?
Alphabetically by surname is faster for guests than grouping by table, because a guest knows their own name but not their table number. Grouping by table looks more decorative and works when guest count is low. For anything over about 80 guests we would recommend alphabetical, and on wide charts we split it into alphabetical ranges across panels so several people can read it at once instead of queueing behind one column.
