What wedding signage actually includes

Most couples come to us knowing they want “a welcome sign and a seating chart” and then discover there are another six things they had not thought about. Here is the full list, so nothing turns up as a surprise three weeks out.

• Welcome sign — at the entrance, the first thing guests see. Usually A1 or A0 on an easel.
• Seating chart — tells guests which table they are on. The piece most likely to be left late.
• Place cards — one per seat, so the venue knows which meal goes where.
• Menus and order of service — on the table and at the ceremony.
• Table numbers — or table names, which cost the same.
• Invitations, save the dates and RSVP cards — the first impression, months earlier.
• Backdrops and dance floor decals — for the photos and the reception floor.
• The smaller ones — gift and cards signs, bar menus, unplugged ceremony signs, directional signs where the ceremony and reception are in different parts of a property.

When to order what

This is the part that catches people out, so here is how it works backwards from your date. Our production is 2 to 3 business days to dispatch from artwork approval, plus freight, plus a few days of proofing back and forth. As a rule, order at least two weeks before you need it in your hands.

• Save the dates — most couples post these 8 to 12 months out. Order a fortnight before you want to post.
• Invitations — usually posted 8 to 10 weeks before the day, longer if guests are travelling. So talk to us around three months out.
• Welcome sign, backdrop, dance floor decal — these do not depend on your guest list, only on your wording and styling. Order them whenever you like once the wording is locked. Earlier is calmer.
• Seating chart, place cards, menus, table numbers — these need final numbers, so they wait on your RSVPs.

The seating chart is the tight one. RSVPs usually close three to four weeks before the wedding, and you need the chart in hand a few days before. That leaves a genuinely narrow window, and it is the single most common reason someone rings us in a panic. If your RSVPs are running late, tell us early — we can hold a slot, and same day printing is available on artwork approved before 1pm if it comes to that.

What the whole suite costs

Guide pricing, all inc GST, because the honest answer is that it depends on size and material:

• Welcome sign — from $50 to $200. A1 is the size most people order; acrylic and mirror acrylic sit at the higher end.
• Seating chart — from $100 to $500. The size we print most is 1m × 2m, which holds a long guest list without the type shrinking.
• Place cards — from about $0.10 each, with names printed automatically rather than by hand.
• Invitations — from about $0.50 to $10 each, with quantity the biggest lever.
• Backdrop — from $150 to $750 depending on size and whether it is a printed panel or a built structure.

Send us your list and your date and we will price the whole set together, which is almost always cheaper than piece by piece and means everything ships as one consignment.

Why one supplier for the lot actually matters

Order your invitations from a stationery brand, your welcome sign from a sign shop and your seating chart from somewhere else, and you get three near-misses. Slightly different whites. A typeface that is close but not the same. Card that feels different in the hand.

Because we print all of it on the same floor, on the same machines, your invitation and your seating chart can carry the same typeface, the same colours and the same stock. We are not a designer who sends work out to a printer, and we are not a printer who cannot design — artwork, print, cutting and finishing all happen in one building in Ravenhall.

If you already have a stationer or designer you love, that is fine too. Send us their file and we will print it, and they will never hear from us unless you want them to.

Interstate weddings

We print in Melbourne and freight Australia-wide. Transit sits on top of the dispatch window: next business day to Melbourne on express, 1 to 3 business days to Sydney and Adelaide, 3 to 5 to Brisbane and the Gold Coast, and 4 to 6 to Perth. Air freight is available when a date is tight. Most orders go direct to you rather than the venue, so you can open the box and check it while there is still time to fix something.
